Payment Process
You need to make 20% of the package to book any trip with us. We only confirm the trip after receiving the booking deposit. You will receive the trip booking confirmation via email.
To make payment for the trip, you can use a wire/bank transfer, credit/debit card (MasterCard), American Express, Union Pay, Visa, or JCP.
1. Payment by Credit Card and Debit Card (MasterCard, Union Pay, Visa, American Express, and JCP)
We have integrated a safe payment gateway on our website, which allows you to easily and safely pay for your desired trip.
Note:
- During bank transfer or payment through your card, your bank may charge you an international transaction fee. So, we kindly request to know about this detail from your bank.
- If the amount received by us is less than what it is supposed to be, we request that you clear the dues before the trek starts.
2. Payment via Wire/Bank Transfer

Note:
- We do not take responsibility for any loss caused during the wire transfer. So, double-check the details.
- Mail a copy of the remittance slip after making the payment, inlcuding the reference number and sender's details.
- If the amount received is less than what it is supposed to be, balance the due before the trip starts.
3. Final Payment/Acceptance of Booking/Client details
We provide partial and full payment options to our travelers. If the client chooses to make a partial payment to book the trip, they must clear the remaining balance before the trip starts.
They can make the remaining payment upon arriving in Kathmandu. We do allow travelers to join the trip if their due is not cleared.
Booking Policy
You can book a private trek with us or join a fixed departure group for your desired trip.
We need your general information and a scanned copy of your passport to book the trip. Your general information and passport copy are used to obtain the trip permit and make other necessary reservations for the trip.
Upon receiving your booking request and deposit, we will verify it and get back to you in 1 to 2 business days.
- Our minimum booking deposit is 20% of the package cost.
- The remaining 80% of the due payment must be cleared before the trip begins.
- If the amount received by us is less because of third-party charges (banks), the Clients have to clear the due amount before the trip starts.
- Failure in payment can lead to trip cancellation. Adventure Magic Treks will not be forced to provide service without full trip payment.
Documents for Booking
We need the following documents to book a trip in Nepal:
- Scanned copy of your passport (must have at least 6 months of validity)
- Passport-size photo in JPEG format (proper for printing)
Cancellation Policy
To cancel any trip with us or any of our services, you have to send us an email clearly stating the reason for the trip cancellation. We must acknowledge and approve the cancellation request for it to be effective.
We have a very flexible cancellation policy for our travelers. We also allow our travelers to reschedule the trip (additional charges apply accordingly).
Note:
* No refund will be given if the Client (you) leaves the trip in the middle or for any unused service/activities.
Below are our cancellation terms
If cancellation is done by the Company (Adventure Magic Treks)
- In case of an unseen event, such as a natural disaster, political unrest, adverse weather, war, illness, etc, Adventure Magic Treks can cancel the trip.
- We will give you a full refund if the trip is canceled by us. Likewise, you will also have an option to postpone the trip.
Note: You can change the booked trip, but you have to bear the cancellation charge as well as the additional charges that may come with the new trip.
If cancellation is done by the Client (you)
- If you cancel the trip one month before the trip's starting date: 45% of the full payment will be deducted, and the rest will be refunded.
- If you cancel the trip 2 weeks before the trip's starting date: 75% of the full payment will be deducted, and the rest will be refunded.
- If you cancel the trip 1 week before the trip's starting date: No refund will be made.
Note:
* Refunds are made after deducting the domestic flight and transportation reservation charge, along with any reservations made for the trip.
*The Company does not make any refund if you voluntarily leave the trip after it starts.
Underage Trekking
If you are below 18 years old, you can do any trip with us with your parents or an identified guardian.
Nepal Travel Visa
None of our travel packages to Nepal includes the Nepal travel visa fee. Travelers have to obtain the travel visa for Nepal and pay the visa fee by themselves.
Privacy Policy
Your general information and passport details are only used to obtain permits and make reservations. We do not share information about our clients with any other company.
Your Photos and Videos Use
We use our clients' photos and videos for promotional events on our social media and website.
Final Note
